Privacy Policy

1. Overview
Servus Lucis ("we," "us," or "our") provides AI-powered voice agent and automation services to businesses ("Client" or "Clients"). This Privacy Policy describes how we collect, use, and handle information that passes through our systems when we provide those services on behalf of our clients.
As between Servus Lucis and our Clients, the Client is the data controller and Servus Lucis is the data processor with respect to personal information collected from callers and leads who interact with a Client's AI system. This means the Client's business determines why and how this information is collected and used in connection with their own operations, and Servus Lucis processes that information on the Client's behalf, using the systems described in this policy.
Separately, with respect to information we collect directly from website visitors and from our own Clients in connection with managing their account and subscription, Servus Lucis is the data controller. That relationship is described further in Sections 2 and 3 below.
By using our services or interacting with an AI system operated by Servus Lucis, you acknowledge the practices described in this policy.
2. Information We Collect
When callers or leads interact with an AI system we operate on behalf of a Client, we may collect the following information:
- Caller name — provided voluntarily during a phone or SMS interaction
- Phone number — the number from which a call or text is placed
- Business inquiry — the reason for calling or texting, as stated by the caller
- Call transcripts — a full text record of the conversation between the caller and the AI voice agent
- Call recordings — audio recordings of calls, where applicable, retained separately from text transcripts
- SMS conversations — a full text record of any automated SMS exchange initiated in response to a missed call
We do not collect payment information, social security numbers, government IDs, or any sensitive personal data through our voice or SMS systems.
Website Visitors and Clients. Separately, when you visit our website, submit a contact form, or purchase a subscription, we may collect your name, business email address, billing address, and IP address. Payment details (such as card or bank account numbers) are processed securely through our third-party payment processor, Stripe, and are never stored on our own servers. We do not currently use cookies or website tracking technologies; if this changes in the future, this policy will be updated accordingly.
3. How We Use Your Information
Information collected through our systems is used exclusively for the following purposes:
- Lead capture — logging caller details so the Client business can follow up
- AI processing — generating a structured summary of each call or conversation using our AI systems
- Client notifications — delivering call summaries and transcripts to the Client business via email so they can respond to inquiries
- Service improvement — reviewing interactions in aggregate to improve the accuracy and quality of our AI systems
We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes.
Website Visitors and Clients. For prospective and current Clients, Servus Lucis is the data controller. We use the information described above to manage your account, process payments, communicate with you about your subscription, and respond to inquiries submitted through our website.
4. Data Security
We implement reasonable technical and organizational security measures designed to protect the data passing through our systems, including encryption of data in transit. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
5. Third-Party Services
To deliver our services, we work with third-party infrastructure and AI providers. These providers process data only as necessary to deliver the service.
6. Data Retention
Call records, transcripts, recordings, and related data are retained for the duration of the Client's active contract with Servus Lucis.
Upon termination of a Client contract, all data stored within Servus Lucis systems — including call logs, transcripts, recordings, and caller information — will be permanently deleted within 30 days of the termination date. Data retained by third-party infrastructure providers is subject to their respective data retention policies.
If you are a caller who interacts with one of our Client's AI systems and would like your data removed prior to that date, please see Section 7 below.
Client Account and Billing Data. Information collected directly from Clients in connection with their account and subscription (such as name, business email, and billing address) is retained for the duration of the Client relationship and for a reasonable period afterward as needed for accounting, tax, and legal recordkeeping purposes, after which it is deleted or anonymized.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or request deletion of personal information collected about you through one of our Client's AI systems.
Because Servus Lucis acts as a data processor on behalf of our Clients, the Client business you contacted is generally the appropriate party to direct these requests to. However, you are welcome to contact Servus Lucis directly using the information below, and we will either fulfill your request as the Client's processor or promptly notify the relevant Client business so the request can be addressed.
We will respond to all requests within a reasonable timeframe and in accordance with applicable law.
8. Children's Privacy
Our services are strictly intended for business operations and are not directed to individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided us with personal information, we will take steps to permanently delete it from our systems.
